Our Content Writing Process, From First Call to Publishing

Our content writing process has seven stages, each with a set timeline, a clear list of what we need from you and what you receive. You always know what happens next and when.

The same steps apply whether you order a single service page or a monthly plan of 12 posts. Only the volume changes.

Stage by stage

What happens at each stage

  1. Stage 1: Inquiry and quote

    Within 24 business hours

You send the contact form with your site, goals and the services you are interested in. We review your site and the searches you could realistically target, then reply with a short content plan and a written quote.

    You provide

    • Your website URL
    • What you sell and to whom
    • Any deadlines or volume in mind

    You receive

    • A short content plan with target keywords
    • A written quote with scope and timing
  2. Stage 2: Onboarding and kickoff

    Days 1–2 after approval

Once you approve the quote and pay the first invoice, we hold a short kickoff call or send a written questionnaire, whichever you prefer. We confirm your customers, competitors, tone of voice and the pages that matter most to your business.

    You provide

    • Answers to the kickoff questions
    • Examples of content or brands whose tone you like
    • Read access to Google Search Console, where relevant

    You receive

    • A confirmed schedule
    • One named point of contact
  3. Stage 3: Keyword research and content plan

    Within 5 business days

We research keywords, study the pages that currently rank for each one, and turn the best opportunities into a content calendar. Each entry has a topic, a primary keyword, the search intent behind it and a delivery date.

    You provide

    • Approval of the calendar, or topics you want swapped

    You receive

    • A content calendar with topics, keywords and dates
  4. Stage 4: Research, outline and writing

    Per calendar date

For each piece we review the top results, collect the questions searchers ask and build an outline. One-off pages and articles wait for your outline approval. The writer then drafts the piece with concrete examples and your product details.

    You provide

    • Answers to any fact questions we send
    • Outline approval for one-off pieces

    You receive

    • An approved outline for one-off pieces
  5. Stage 5: Editing and SEO QA

    Before every delivery

Every draft gets a separate editing pass for accuracy, clarity, grammar and tone. We then check on-page SEO, write the meta title and description, add internal link suggestions and run a plagiarism check.

    You provide

    • Nothing at this stage

    You receive

    • A finished, edited piece ready for review
  6. Stage 6: Delivery, revisions and publishing

First posts within 10 business days

Content arrives in Google Docs, as HTML or Markdown, or published in your CMS if you give us an editor account. You review it and send revision requests; we return each round within 2 business days.

    You provide

    • Review and consolidated feedback within 14 days

    You receive

    • Publish-ready content
    • Revised versions within 2 business days
  7. Stage 7: Reporting and next month

    Monthly

On Growth and Authority plans you receive a monthly report covering what was delivered, Search Console impressions and clicks for those pages, and next month's topics. Every plan gets the next content calendar to approve.

    You provide

    • Approval of next month's calendar

    You receive

    • Next month's calendar
    • A monthly report on Growth and Authority

Revisions

How revisions work

Revisions exist so the piece matches what you approved in the outline. These rules keep rounds short and predictable.
  • Rounds per piece

Starter includes 1 revision round per post. Growth, Authority and one-off pieces include 2 rounds.

  • One list per round

Send all changes for a piece together, in comments on the document or in one email.

  • Two business days

Each revised version comes back within 2 business days.

  • Within the outline

Changes to wording, tone, facts, examples and order are revisions. A new topic, angle or keyword is a new piece.

  • 14-day review window

Content counts as approved when you confirm or publish it, or 14 days after delivery without a revision request.

Communication

Communication cadence

  • Email for scope, feedback and approvals, answered within 24 hours on business days
  • WhatsApp for quick questions during business hours (Mon–Fri, 9:00–18:00 Mountain Time)
  • A content calendar to approve before each month's writing starts
  • Deliveries spread across the month, so you review a few pieces at a time
  • A monthly report on Growth and Authority plans

Quality

Checks before every delivery

  • The piece targets one primary keyword and matches the intent of the current results
  • Every claim about your business was confirmed by you or comes from your site
  • Facts and figures from third parties are checked against their original source
  • Headings follow a logical H2/H3 order and answer the questions searchers ask
  • Meta title and description fit search result limits
  • Internal link suggestions point to relevant pages with descriptive anchor text
  • The text passes a plagiarism check
  • Formatting pastes cleanly into Google Docs or your CMS
